At the time, the iPad was just a glimmer in Apple\u2019s eye. Facebook had a quaint 500 million users. Taylor Swift had only released two albums. Blockbuster Video still existed, and Netflix shipped DVDs to your door.&nbsp;<\/p>\n\n\n\n<p>Unlike most things in technology, the 3-2-1 backup rule has held up over the years. Though backup methods have evolved with modern data protection and cloud storage services, the rule is still the de facto standard for data redundancy. Today, I\u2019ll explain what the 3-2-1 backup rule is, what\u2019s changed, and how you can easily achieve a 3-2-1 backup to keep your <a href=\"https:\/\/www.backblaze.com\/cloud-storage\">data safe and protected<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What Is the 3-2-1 Backup Rule?<\/h2>\n\n\n\n<p>The 3-2-1 backup rule is a simple, effective data backup strategy for keeping your data safe. It advises that you keep three copies of your data on two different media with one copy off-site. Let\u2019s break that down:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Three copies of your data:<\/strong> Your three copies include your original data (also called production data), plus two more copies.<\/li>\n\n\n\n<li><strong>On two different media:<\/strong> You should store your data on two different storage media, such as a local drive and a cloud storage service. This means something different today than it did in the late 2000s. I\u2019ll talk a little more about this in a bit.<\/li>\n\n\n\n<li><strong>One<\/strong> <strong>copy off-site:<\/strong> You should keep one copy of your data off-site in a remote location, ideally more than a few miles away from your other two copies to protect against natural and physical disasters that could affect local copies.<\/li>\n<\/ul>\n\n\n\n<p>If you want to protect your personal information, photos, work files, or other important data, the 3-2-1 backup strategy is the way to go. \u00a0By using multiple storage types and locations, it helps you avoid having a single point of failure that\u2019s vulnerable to human error, <a href=\"https:\/\/www.backblaze.com\/blog\/backblaze-drive-stats-for-q1-2024\/\" target=\"_blank\" rel=\"noreferrer noopener\">hard drive crashes<\/a>, theft, natural disasters, or <a href=\"https:\/\/www.backblaze.com\/blog\/category\/cloud-storage\/ransomware\/\" target=\"_blank\" rel=\"noreferrer noopener\">ransomware<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How Does the 3-2-1 Backup Rule Work?<\/h2>\n\n\n\n<p>Let\u2019s say you took a picture of your social security card for your tax accountant years ago\u2014that file is called \u201c<code>socialsecurity.jpg<\/code>\u201d and it lives on your computer at home as the original data. That\u2019s also the first \u201ccopy\u201d of your data.<\/p>\n\n\n\n<p>You also have an external hard drive at home, used to <a href=\"https:\/\/www.backblaze.com\/cloud-backup\/personal\/mac-online-backup\">back up your go-to Mac<\/a> or gaming <a href=\"https:\/\/www.backblaze.com\/cloud-backup\/personal\/windows-online-backup\" target=\"_blank\" rel=\"noreferrer noopener\">PC<\/a>.\u00a0 That external hard drive will back up <code>socialsecurity.jpg<\/code> as part of its backup process. That\u2019s a second copy on a different storage medium.<\/p>\n\n\n\n<p>In addition to that external hard drive, you also have an <a href=\"https:\/\/www.backblaze.com\/cloud-backup\">online backup solution<\/a> (we recommend Backblaze; go figure!). The online backup continuously scans your computer and uploads your data to the cloud (which, in layman\u2019s terms, is an off-site data center). <code>Socialsecurity.jpg<\/code> is included in this upload, becoming the third copy of your data.<\/p>\n\n\n\n<p>Oh! We found a use for you.<\/figcaption><\/figure>\n<\/div>\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Some types of media are not practical or affordable for a typical home computer user looking to back up their data (tape libraries, for example). Some of the technologies were prohibitively expensive back then, but are much more affordable now (SSDs). <\/p>\n\n\n\n<p>And one big one wasn\u2019t mainstream yet: The Cloud\u2122 (you might have heard it referred to as \u201cother people\u2019s computers\u201d). <\/p>\n\n\n\n<p>So, what does this mean for the 3-2-1 backup strategy? Do you still need to keep your data on two different media?<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Two Different Media, Really?<\/h3>\n\n\n\n<p>The short answer is: yes, but no. Today, you <strong>don\u2019t need to keep your data on two different types of media, but you do need to keep your data on two different devices.\u00a0<\/strong><\/p>\n\n\n\n<p>The long answer is a bit more complicated. Originally, the idea behind using two types of storage media was twofold. One, it protects you from one of those forms of media becoming obsolete in the face of <a href=\"https:\/\/www.backblaze.com\/blog\/storage-tech-of-the-future-ceramics-dna-and-more\/\" target=\"_blank\" rel=\"noreferrer noopener\">new storage technology<\/a> (still looking at you, CDs) and your data becoming unreadable \u00a0with new storage technology. And two, it\u2019s wise to keep your backup copy on a separate device so that a hardware failure doesn\u2019t take out both local copies. For example, if your computer all of the sudden doesn\u2019t want to hold a charge, you can still recover data from your hard drive.<\/p>\n\n\n\n<p>While obsolescence is always a concern, the advent of cloud storage for backups all but eliminates it. The cloud service provider is responsible for maintaining the physical storage devices and <a href=\"https:\/\/www.backblaze.com\/blog\/backblaze-network-stats\/\" target=\"_blank\" rel=\"noreferrer noopener\">keeping your data accessible<\/a> at all times. So, if you use a cloud backup service, you only need to worry about keeping your data on two devices, not two separate kinds of media. What does that look like?&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The Easiest 3-2-1 Backup<\/h3>\n\n\n\n<p>If you back up your home computer to an external hard drive and back both of those devices up to the cloud using something like <a href=\"https:\/\/www.backblaze.com\/cloud-backup\" target=\"_blank\" rel=\"noreferrer noopener\">Backblaze Computer Backup<\/a>, you have achieved a 3-2-1 backup.\u00a0<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You have <strong>three<\/strong> <strong>copies of your data:<\/strong> One on your computer, one on your hard drive, and one in the cloud.<\/li>\n\n\n\n<li>You store your data on <strong>two<\/strong> <strong>different devices:<\/strong> Your computer and your external hard drive. (Technically, three devices, since your data is also stored in the cloud).<\/li>\n\n\n\n<li><strong>One<\/strong> of those copies is off-site: The cloud copy.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Is the 3-2-1 Strategy Still the Standard?<\/h2>\n\n\n\n<p>If you aren\u2019t backing up at all, implementing a 3-2-1 backup strategy is still the best thing you can do to protect your data. But, the 3-2-1 rule is becoming more of a starting point rather than a complete data backup solution in today\u2019s world.\u00a0<\/p>\n\n\n\n<p>The rise in <a href=\"https:\/\/www.backblaze.com\/blog\/complete-guide-ransomware\/\" target=\"_blank\" rel=\"noreferrer noopener\">ransomware attacks<\/a> calls for strengthening the basic principles of the 3-2-1 strategy\u2014redundancy, geographic distance, and access\u2014with added protections. It isn\u2019t.<\/p>\n\n\n\n<p>The good news is that companies like Backblaze exist to make at least the off-site component less stressful\u2014we do the work and keep up with security best practices for you.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why Do I Need Both an On-Site and an Off-Site Backup?<\/h2>\n\n\n\n<p>Whether you are interested in <a href=\"https:\/\/www.backblaze.com\/cloud-backup\/personal\/mac-online-backup\">backing up a Mac<\/a> or a <a href=\"https:\/\/www.backblaze.com\/cloud-backup\/personal\/windows-online-backup\" target=\"_blank\" rel=\"noreferrer noopener\">PC<\/a>, an on-site backup is a simple way to access your data quickly should anything happen to your computer. If your laptop or desktop\u2019s hard drive crashes, and you have an up-to-date external hard drive available, you can quickly get most of your data back or use the external drive on another computer while yours gets fixed or replaced. <\/p>\n\n\n\n<p>If you remember to keep that external hard drive fairly up to date, the exposure for data loss is negligible, as you might only lose the uncopied files on your laptop. Most external hard drives even come with software to ensure they\u2019re readily updated.<\/p>\n\n\n\n<p>Having an on-site backup is a great start, but having an off-site &#8211; such as a cloud storage -backup is a key component in having a complete backup strategy. <\/p>\n\n\n\n<p>The newer backup strategies build on the cloud\u2019s strengths offer:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Convenience:<\/strong> Backing up large volumes of data in the cloud is fast.<\/li>\n\n\n\n<li><strong>Durability and reliability:<\/strong> Your data is protected against fires, natural disasters, and more.<\/li>\n\n\n\n<li><strong>Collaboration:<\/strong> Sharing with permissions is intuitive and effortless in the cloud.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Is the 3-2-1 Backup Rule Perfect?<\/h2>\n\n\n\n<p>There is no such thing as a perfect backup system, but the 3-2-1 approach is a great start for most people and businesses. Even the United States government recommends this approach. In a 2012 paper for the United States Computer Emergency Readiness Team (US-CERT), Carnegie Mellon recommended the 3-2-1 method in their publication: <a href=\"https:\/\/www.cisa.gov\/sites\/default\/files\/publications\/data_backup_options.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">Data Backup Options.<\/a><\/p>\n\n\n\n<p>However, as data risks evolve, especially with rising cyber threats like ransomware and targeted attacks on backup copies, many organizations are exploring enhanced strategies such as 3-2-1-1-0 or 4-3-2. These newer methods build on the 3-2-1 rule by adding extra layers of data integrity and security.<\/p>\n\n\n\n<p>In practice, the 3-2-1 rule offers a balanced approach: keeping three copies of your data across two different storage types with one off-site backup provides protection against hardware failures, natural disasters, and most cyberattacks.\u00a0<\/p>\n\n\n\n<p>But depending on your business continuity needs and data sensitivity, you may want to explore additional backup solutions that offer faster recovery times and additional data protection.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Backing Up Is the Best Insurance<\/h2>\n\n\n\n<p>The 3-2-1 plan is great for getting your files backed up. If you view the strategy like an insurance policy, you want one that provides the coverage needed should the unthinkable happen.
